Coordinates the day to day administrative operations of the Center for Children & Families (CCF). Provides excellent customer service, exceptional administrative support, and facilitating various tasks within our center.

Coordinates the day to day administrative operations of the Center. Provides customer service to visitors, staff, and patients.
Receive and distribute incoming mail to all CCF spaces as requested, and prepare outgoing mail for posting.
Coordinates the implementation of the center’s activities and event that includes overseeing the room booking process and facilitating the confirmation of room bookings for daily appointments and center events.

Works closely with the Clinic Manager to improve clinic flow and enhance overall operational efficiency.
Collaborates with other teams and handle day-to-day requests to ensure smooth operations across the center.
Manages project-oriented activities related to administrative services, including planning, coordination, and evaluation of departmental tasks.
Verifies insurance information for scheduled patients to ensure eligibility and coverage prior to appointments.
Maintains and updates center databases and lists to ensure accuracy and accessibility of information, including overseeing inventory of manuals and equipment for checkout, checking that items are returned and ready for use, and following up as needed.
Process payments in compliance with PCI guidelines and center procedures, ensuring accuracy and security.
Maintains office supplies organized and restocked to support daily operations, making departmental purchases.
Plans, prioritizes, and schedules CCF and other university spaces as needed for CCF-related activities, making informed decisions regarding room bookings.
Monitors the appointment scheduler and follow up with providers as needed to confirm appointments and resolve scheduling conflicts.
Provide support to the department head and staff by addressing general inquiries and assisting with administrative tasks as needed.

 

Bachelor’s degree and two (2) years of office or related experience providing administrative support, or coordinating functions of an office or department.

 

Bilingual, Spanish/English

Familiarity with Electronic Medical Records (EMR) systems is preferred

 

$40,000 – $41,000
