The Controller is responsible for all accounting, purchasing, payroll, and banking activities, performing a range of accounting functions pertaining to the financial and operational management of the Polk Bros. Foundation and ensuring that day-to-day operations are carried out in accordance with established accounting principles, policies, and objectives. The Controller is responsible for managing and reconciling the Foundation’s general ledger and interfaces with other systems, preparing journal entries and monthly financial statements. The Controller also manages and maintains the information necessary for the Foundation’s audit, as well as tax returns and regulatory filings. The Controller administers the Foundation’s payroll, retirement and other employee benefit plans, and participates in strategic forecasting and other requests, as needed, helping to identify areas for continuous improvement. This position is a part-time position, working three days per week (60% FTE) under the direction of the Vice President of Investments and Administration. The primary duties of this role are:

Accounting, Tax, and Control:

•          Oversee all accounts, ledgers, and reporting systems, reconciling all accounts monthly and ensuring compliance with appropriate GAAP standards and regulatory requirements.

•          Maintain a robust system of internal control and safeguards for all transactions, with emphasis on disbursements, financial reporting, and anti-fraud programs.

•          Manage and track investment valuations in keeping with policies and guidelines.

•          Perform all financial statement audit and tax-related activities, coordinating with third-party service providers.

Reporting, Planning, and Analysis:

•          Consistently analyze financial data and present financial reports in an accurate and timely manner; clearly communicate monthly, quarterly, and annual financial statements; monitor progress and changes to keep leadership abreast of the Foundation’s financial position.

•          Assist leadership in the annual budgeting and planning process; administer and review all financial plans and compare with actual results, identifying, explaining, and correcting variances as appropriate.

•          Manage organizational cash flow forecasting by working in partnership with the Vice Presidents; continuously collaborate to assess the financial efficacy of program operations and establish finance and administrative systems to support operations.

•          Support the Vice President of Investments and Administration in preparation of materials for and engaging with the Board’s Audit and Investment Committees.

Human Resources and Benefits Administration:

•          Administer semi-monthly payroll and 401(k) retirement plan.

•          Manage the Foundation’s employee benefit and training programs, ensuring compliance and serving as a resource for staff.

Grantmaking:

•          Work with the Grants Manager to process grant payments and reconcile the grants database with financial systems.

•          Support the Foundation’s internal efforts to build and operationalize a strong organizational culture that is rooted in equity, inclusion, and mutual respect and aligned with our values and vision.

•          Participate in and meaningfully contribute to Foundation-wide strategic planning and implementation work.

•          Actively participate in staff, Board, and committee meetings, as well as other special projects and duties as assigned.

Successful candidates will possess exceptional accounting skills and knowledge of generally accepted accounting principles and practices, ideally as applied to a nonprofit and/or foundation environment. A bachelor’s degree and a minimum of seven years of related full-time professional work experience is required. An advanced degree in Finance and/or a Certified Public Accountant (CPA) qualification is preferred.
