Travel Coordinator Duties and Responsibilities

The Travel Coordinator will make travel arrangements and accommodations for individuals, groups, and the company / event, as a whole.  This includes scheduling flights, organizing ground transportation, booking hotel accommodations, and any other travel related items.  They will be responsible for communicating information to each traveler so they are clearly aware of their confirmation number at the hotel, dates of accommodations, flight information, and ground transportation information to travel to and from the airport.

The Travel Coordinator will ensure all travelers, who are permitted to book their own travel, follow all of the company’s travel protocols for bookings for cost-effectiveness and policy adherence. They will be responsible for frequent reporting and must be available in a customer service capacity at all times while the company is on location.

Travel Coordinator Skills and Experience

Travel Coordinator must have an excellent level of organization, the ability to understand complicated logistical information and high attention to detail. Must be able to communicate with employees, supervisors and travel agencies with professionalism, clarity and accuracy. In addition to these general skills and personal characteristics, the ideal candidate will possess all or most of the following skills and experience –

  • HS or equivalent
  • Valid transportation
  • Flexible schedule
  • Outstanding interpersonal communication
  • Working knowledge of the travel industry
  • Ability to juggle multiple projects simultaneously
  • Understanding of travel policies and regulations
  • Negotiation skills
  • Ability to maintain and manage vendor relationships
  • Experience with coordinating travel arrangements
  • Experience working in the travel industry
  • Firm grasp of digital data and file management systems
  • Excellent written, verbal, and listening communication skills
  • Strong organization and detail skills

Travel Coordinator should have a solid understanding of the following:

  • Recent Microsoft Office software suites
  • Google Suite
  • Travel software experience with TripActions (Online reservation systems)

Time Commitment, Compensation

  • Full Time, Seasonal Employment ( January – October)
  • Travel – Some travel to events may be necessary
